Who is responsible

Alex Bakker maintains BenIkBij and is the contact for personal data processed by this service. Use the support details for questions or requests. Team organisers decide which team information they enter and with whom they share their team schedule.

Data we process and why

• Account details, including your name, email address, password hash and optional profile photo, to provide sign-in and identify your account. If you use Google sign-in where available, we also process the account details and authentication information supplied by Google.
• Team and player information, schedules, attendance responses, optional reasons, dinner preferences, duties, lineups and other team arrangements, to provide the team-management features you use. Team organisers or other authorised users may enter information about you.
• Agent connection records and access credentials, to authorise connected services and enforce your current team permissions.
• Change history, including who made a change, its time and previous/new values, to help team staff understand changes and investigate problems.
• Feedback, optional attachments and any page/device context you choose to include, to handle support requests. Signed-in feedback includes your account name.
• Technical request, security, usage and performance data, to operate the service, limit abuse and understand reliability. The website uses Vercel Analytics and Speed Insights.

Attendance reasons are optional. Please avoid entering medical details or other sensitive information; an availability response is normally enough.

Who can access information

Team staff can access the information needed to manage their teams. People with a shared team schedule link can see information shown on that schedule, including player names and attendance; visibility also depends on team settings. Treat a team link as shared access and do not distribute it more widely than intended.

Hosting and database providers process data to run BenIkBij, including Vercel for website hosting and analytics and Prisma services for database access. Service administrators can access data when needed to maintain the service or handle support. Google processes sign-in information if you choose that sign-in option.

When you connect ChatGPT, OpenAI receives the data returned for requests made through that connection. Other agents you connect receive data in the same way. Access follows your BenIkBij permissions, and authorised actions can change team data. Information received by those services is also subject to their own privacy policies. Nevobo calendar integration retrieves public club, team and fixture information to identify teams and import schedules.

Cookies and account security

BenIkBij uses authentication cookies to keep you signed in and protect sign-in requests. Passwords are stored as hashes. Agent connections use access tokens; disconnecting a connection revokes its access. Keep your login details and private team links secure.

Retention and deletion

Account, team, attendance and feedback records do not currently have automatic expiry dates. They remain stored until explicitly deleted. Change history is retained without automatic expiry and can remain after the original player or event is deleted. Removing an account link or disconnecting an agent does not delete team records.

You can request deletion through support. A request needs to cover both the relevant records and any retained change history. Removing active records does not necessarily immediately remove copies held in hosting logs or backups; those are subject to the hosting provider’s retention settings.

Your choices and requests

You can edit your profile, update attendance where permitted, unlink your player account and revoke agent connections. Contact support to request access to, correction of, or deletion of your personal data, or to raise a concern about its use. We may need to verify your identity before handling a request. You may also raise a complaint with your data protection authority.
